Built for refrigerant gas cylinder dealers

Know where every cylinder is.
And every rupee riding on it.

Cylinder Tracker Pro follows each cylinder from your counter to your customer and back — with the invoice number, due date and deposit on record. No notebook. No “ask the boy who wrote it down.”

The problem

The notebook says 60 cylinders. The godown says 47.

Every cylinder is an asset worth thousands, and a deposit you may one day have to return. A register can record that. It can't defend it.

🫥

Cylinders vanish quietly

A cylinder that never comes back doesn't announce itself. It just stops appearing in the count — until stock-taking day.

💸

Deposits become arguments

“I returned that one months ago.” Without the invoice number and date in writing, refunding a deposit is a negotiation, not a lookup.

Overdue has no alarm

A register never reminds you. By the time you notice a cylinder is late, it's been with the customer for a month — and the next sale waits for stock.

🧠

The business lives in one head

One person knows which entry means what. The day they're on leave, your counter slows down and your records get worse.

📉

Spreadsheets don't run a counter

One file, one copy, overwritten weekly, never live. A spreadsheet shows what someone typed — not what's actually in the godown right now.

The product

One system. Every cylinder, customer, supplier and staff member in it.

Inventory

Every cylinder. One status. Zero guessing.

Each cylinder carries its number, gas type, make, size and one of six live statuses — so “how many full R-22 big do we have?” is a glance, not a walk to the godown.

  • Full in Stock, With Customer, Empty in Stock, At the Counter, At Warehouse, Sold
  • Company sealed and self refilled tracked separately
  • Big/small split on every count, filterable by gas and make

Customers & deposits

Who holds what — and whose money you're holding.

Every cylinder out is tied to a customer, an invoice number, a due date and the deposit collected. When it comes back, the refund is recorded too — so settling a deposit is a lookup, not a negotiation.

  • Deposit collected on assignment, refund recorded on return
  • Outstanding deposit visible per customer, in rupees
  • Overdue customers surface themselves — no chasing the register

Suppliers & refills

Refills you can chase, not hope for.

Send empties for refill and the system remembers exactly what went to which supplier — by size and type — until every entry comes back fulfilled.

  • Refill entries per supplier with big/small counts
  • Pending vs fulfilled at a glance
  • New purchases and from-stock refills kept separate

Staff & accountability

Your staff runs the counter. You see everything.

Give staff their own logins with the access they need. Every rent, return, refill and number swap lands in the activity log with a name on it.

  • Admin and staff roles — team managed by you
  • A full activity log: who did what, when, to which cylinder
  • Number swaps recorded, so history never breaks

The workflow

From counter to customer and back. On record the whole way.

The same six moves your counter already makes — except now each one leaves a trail.

01

Assign

Rent or sell at the counter. Pick the cylinder, pick the customer — even in bulk.

02

Put it on record

Invoice number, due date and the deposit collected attach to the transaction. In writing, from day one.

invoice · due date · ₹ deposit
03

Track

Status updates itself as the cylinder moves — counter, customer, warehouse, refill.

04

Catch overdue

The dashboard flags late returns the day they slip, with the customer's name next to them.

Why Cylinder Tracker Pro

Generic inventory apps don't know what a refill is.

This isn't stock software with a cylinder icon. It's built around how a cylinder business actually moves.

🛢️

Built for cylinder dealers

Statuses like “At the Counter” and entries like “sent for refill” exist because your day does — not because a template had them.

🤝

Fewer disputes

Invoice numbers, due dates and return records on every movement. When a deposit is questioned, you open the record, not an argument.

🧾

Clear accountability

The activity log puts a name on every rent, return and swap. Honest mistakes get found; quiet losses stop being quiet.

Faster counter work

Global search across cylinders and customers, bulk assign, and statuses that update themselves. Less typing than the register took.

📱

Owner visibility, anywhere

The dashboard shows full, empty, with-customer and overdue counts live — from the shop, the godown or home.

🔓

Your data stays yours

Everything exports to Excel and PDF whenever you want. If you ever leave, you leave with your records.

Questions

Asked by every dealer before you.

Is it free?+

Yes — you can start free and run your counter on it today. No card, no commitment. If your needs grow beyond the free plan, we'll talk before anything changes.

Does it track deposits?+

Yes. Record the deposit collected when a cylinder goes out and the refund when it comes back — in rupees, on the transaction itself. Each customer's outstanding deposit stays visible, so refunds are settled against facts, not memory.

Can I get my data in and out of Excel?+

Both ways. Import your existing records from Excel or CSV so you don't start from a blank screen, and export filtered inventory, ledgers and overdue lists to Excel or PDF anytime — or share them straight to WhatsApp.

Can my staff use it?+

Yes. Staff get their own logins and work the counter; admins manage the team. Every action is logged with the person's name, so accountability comes built in.

Is this website the app?+

No — this is the front door. The application itself runs at its own address; the buttons here take you to it. Log in from any phone or computer with a browser.

Why isn't a notebook or spreadsheet enough?+

A notebook records; it never reminds, never totals, and never says who wrote what. A spreadsheet is one file that's already out of date. A cylinder business is money moving in and out of the shop all day — it needs a system that moves with it.

Start with the cylinders you have today.

Add your stock, assign at the counter, and see your first live count in minutes. The register can retire with honor.
